Sharing and organizations¶
Your company works in Malleable as one organization. New workflows are usually shared with it, so teammates can find, change and run them. You can also keep a workflow private, share it with a few people, or send someone a link.
Your organization¶
Each person in it is an Admin or a Member. Admins manage people and their roles. Members work on the workflows shared with the organization.
To manage it, open the account menu (your picture, top right) and choose Manage organization. If you belong to more than one organization, switch between them in the same menu.
To invite a teammate, an admin opens Invitations, enters their email, picks a role and clicks Send invitation. The teammate gets an email with a link, signs in with that address, and joins. To remove someone, an admin opens Members and clicks Remove. That person loses access to everything shared with the organization.
Choose who can see a workflow¶
The person who creates a workflow owns it. The owner decides who can see it. Click the workflow's name at the top of the canvas and open the Sharing tab. Under Visibility, choose:
- Shared with my organization: anyone in your organization can see and edit it. New workflows usually start here.
- Private: only you and the people you add. Click Add people and search your organization by name or email.
Anyone who can see a workflow can also change and run it.
Find workflows¶
The workflow list shows every workflow you can see: yours, the ones shared with your organization, and the ones shared with you. It opens on Owned by me. Click All to see the rest.
You can star the workflows you own and add your own labels with New label. Only you see your labels. Filter the list by Starred, Draft, Unlabeled or a label.
Run links¶
A workflow that starts from a form has a run link that opens the form. On the Sharing tab, under Run link access, the owner picks who can use it:
- Anyone who can already see this workflow. This is the default.
- Anyone in your organization with the link. They sign in first. This option appears when the workflow is private.
- Anyone with the link. No Malleable account needed. Use this for customers or vendors.
To stop sharing the link, switch back to the first option.
View-only canvas links¶
To show someone how a workflow works, the owner can create a view-only link to its diagram. On the Sharing tab, under Canvas share links, click Create new link. Anyone with the link can look but not edit. Secrets and sensitive data are hidden. Click the trash icon next to a link to turn it off.
Hand a workflow to someone else¶
On a published workflow, the owner can click Change owner… under Ownership on the Sharing tab. Malleable shows which apps the new owner needs to connect. New runs use the new owner's connected apps.
Share an app connection¶
Say you're working on a teammate's workflow, and it needs an app they haven't connected. Malleable offers Connect with my account. Once you connect, you can share the connection with that teammate or with your whole organization. Nobody gets your login.
To stop sharing, open Integrations from the account menu. Under Shared with, click the × next to a name.

Organization admins manage people, not workflows. An admin sees a private workflow only if its owner adds them.
